Job Description
Summary of Key Responsibilities:
- Provide day-to-day support to Senior Vice President and General Manager for Rexel Inc. and his direct reports, as needed.
- Calendar management, correspondence, presentation preparation, travel arrangements, meeting planning/organization, expense reconciliation, policy enforcement, etc.
Requirements:
- Performs administrative duties for executive management. Responsibilities may include screening calls, making/coordinating U.S. and international travel arrangements, preparing presentations, reports, and financial data.
- Composes and types routine correspondence and advanced level presentations.
- Organizes and maintains file system.
- Heavy calendar management - coordinates executives schedule and makes appointments.
- Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
- Manages all meeting space & internal video equipment needs for meetings/events.
- Able to work overtime as needed.
- Other administrative duties as needed for position.

- Expert level of proficiency in Microsoft Outlook , Word, Excel, Power Point, and Visio
- Ability to travel to offsite meetings as needed; estimated 10% travel
- Minimum of 7 -10 years executive assistant experience; preferably with 3+ years supporting C-Level executives.
- Bachelors degree highly preferred or equivalent work experience required.
- Previous supervisory experience and/or office management experience preferred.
Language Ability:
Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
Math Ability:
Ability to apply advanced mathematical concepts such as exponents, logarithms, quadratic equations, and permutations. Ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills:
To perform this job successfully, an individual should have knowledge of word processing software, spreadsheet software, inventory software, internet software and order processing systems.
