ASSISTANT OFFICE MANAGER

We are a growing, service oriented financial consulting firm seeking a personable, highly organized and detail oriented individual to meet the needs of our customers and office staff by providing excellent customer service and general office support. Our ideal candidate desires a long term commitment with our growing financial services company and with proof of positive performance, has potential to develop into the office manager role.Primary responsibilities include managing day to day customer service requests, preparing account paperwork and insurance applications, tracking financial data and preparing materials for client meetings. Additional duties include greeting clients, answering phones and scheduling appointments.

REQUIRED KNOWLEDGE/SKILLS/COMPETENCIES

Four year college degree required;

Expertise in Microsoft Excel and Word a must;

Amazing attitude and extraordinary customer service skills;

Ability to interact comfortably with clients;

Superior organizational and time management skills;

Ability to handle multiple tasks and operate under tight deadlines;

Ability to maintain the highest attention to detail while under pressure;

Ability to use multiple technology platforms;

Mathematical skills and computational proficiency;

Excellent oral and written communication skills;

Previous administrative experience in a professional office required.

PRIMARY TASKS AND RESPONSIBILITIES

Provide administrative support to advisors and office manager;

Handle day to day customer service requests;

Prepare insurance applications, account paperwork and asset rollovers;

Prepare and gather materials for client review meetings;

Track financial data and information using Excel spreadsheets;

Maintain client management database to ensure accurate records for clients and prospects;

Review and verify financial transactions, investment trades, etc;

Scan and file client statements, correspondence and agreements;

Answer incoming calls and schedule appointments;

Prepare client facing written communication, appointment reminders and instructional letters.

Salary commensurate with experience
