Manpower is looking for an experienced Administrative Event Planner CoordinatorThe job is located in Bedford, MA Monday - Friday 8-5pm PAYING $24 AN HOURThis job is for 3 monthsHere is an overview of the job description General SummaryOur EBC is responsible for delivering world-class experiences that enhance customer relationships, accelerate business growth and advance the brand. Reporting to the Concierge Manager, the Guest Services Agent will work closely with the Briefing Advisor, sales teams and clients. As the first point of contact on the day of the briefing for our guests, the GSA must be of professional appearance and demeanor and understand the importance of customer service as the face of the Executive Briefing Center.Duties and responsibilities Booking logistics for customers such as ground transportation, lodging, dinners and possibly sporting events Prepare conference rooms for meeting (set up padfolios, put out agendas, turn on equipment, wipe down white boards, etc) Ensure the facility and equipment is customer-ready and fully operational at all times by working with our IT Dept or Facilities team Prepare name badges for customers Maintain the "welcome" board for briefings Grant access to guest wireless services for customers Schedule catering for all briefings and note special dietary restrictions (vegetarian or Kosher for example) Order and manage inventory EBC supplies such as customer portfolios, mugs & pens Interface with clients, vendors, facilities, security, and executives at all levels of the company professionally; Field questions from sales teams and clients and research a solution Handle all general administrative duties at the front desk of the EBC Assist customers with last minute needs such as printing airline tickets or changing flights changing logistical things such as car service or dinner arrangements; Meet and greet customers and act as the receptionist/guest services specialist in our front lobby the day of briefings Printing documents for the EBC (things such as agendas or presentations Handling "day of" changes to the agenda when necessary Enter customer briefing data into system and Salesforce.com Manage and reconcile the department procurement card, purchase orders and invoices/statements Turn on all equipment in conference rooms to ensure functioning properly and May need to accompany customer on internal tours. Other misc duties as it pertains to the meeting center; Any other projects specified by the managerSkills Excellent communication skills Understands the importance of diplomacy Very well organized Knowledge of Salesforce.com is helpful; Computer savvy with Microsoft Office Product Suite (Outlook, Word, PowerPoint, Excel) Ability to Multi-task Works well under pressure Conflict resolution skills Self-motivator and eager to learn more and take on more Efficient time management skills Previous office experienced required Experience as in the hotel industry as a hospitality industry a plus and A polished, professional and positive attitude is a must!
